Service staffing modes

Each appointment service has a staffing mode. It decides whether the client picks a person, only needs someone on site, or needs nobody at all.

Set it on the service, under Staffing. The account default is Settings → Business rules → Bookings. New services start on that default. Services you already have keep their own mode.

Book with a staff member

The client picks a practitioner, or chooses Any available. The booking uses that person's time. Their other bookings, breaks, and classes block the slot.

Needs staff on site

There is no practitioner choice. A slot is bookable when:

  • a room or resource of the service's type is free, and
  • an eligible staff member is rostered at that location for the whole slot.

Eligible staff are the people you list on the service. Staff with no set hours count as on site whenever the location is open. Their own appointments do not block the slot. A break, a schedule block, or a class they teach does.

The booking is not assigned to them. It sits on the resource.

No staff needed

Only location hours and a free resource. Nobody has to be rostered.

A free resource stops a double booking

In every mode, two bookings cannot take the same resource at the same time. If you have two saunas, one can be busy and the other still open.

Example: an IR sauna

You have two IR saunas (Sauna 1 and Sauna 2) and a service called IR sauna session.

  1. Set the service to Needs staff on site.
  2. List the staff who may supervise it.
  3. Give those people a roster at the studio, or leave hours unset so they count as on site for the whole time the studio is open.

A client can book 10:00 when either sauna is free and at least one listed person is on site for the full hour. If both saunas are already booked, 10:00 is closed. The supervisor's own massage at 10:00 does not close the sauna. Their lunch break does.

Staff and admin can still save a booking outside the roster. The form warns them. Online booking cannot.

Recovery equipment such as a sauna, ice pool, or compression unit stays tied to who is rostered when the service is Needs staff on site. Heat-up time is separate: set Minimum notice (minutes) on the service. See Services and resources.
