Staff working hours and blocked time
Business hours say when your doors are open. A working roster says when one particular person is available inside those hours - the therapist who only works Tuesday and Thursday, the instructor who finishes at 2pm on Fridays.
How availability is worked out
Revively narrows down from the widest rule to the narrowest:
- Business hours - your default opening times, set in Settings → Business Hours.
- Location hours - where a site keeps different hours to the default.
- Staff working roster - that person's own hours, when you have turned the roster on.
- Schedule blocks - one-off time taken out of the calendar.
- Holidays - closed dates that block bookings entirely.
A slot has to survive every layer to be offered online. If a staff member has no roster of their own, they inherit the location or account hours - which is usually what you want for full-time staff.
Set one staff member's hours
- Go to Staff and open the person.
- Open the Locations and Time Roster tab.
- Choose Configure roster on the location you want to set.
- Turn on Limit bookings to set working hours.
- Set start and finish times for each day, leaving days off unset.
- Save.
Leave the toggle off and the person simply follows the location hours - no custom limit is applied.
Staff can set their own hours on the phone: in the mobile app, open More → My working hours.
Set business hours and holidays
Working rosters sit inside your business hours, so get those right first.
- Settings → Business Hours sets your default open and close times for each day. Visible padding controls how much time either side of your open hours shows on the calendar - handy if you set up before opening.
- Settings → Holidays is where you add closed dates by Name and Date. Holidays block new bookings on those days for everyone.
See How to set business hours and holidays.
Block out time on the calendar
Use a schedule block for anything that is not a booking but still takes up the room, the equipment, or the person: a team meeting, a deep clean, a lunch break, or servicing.
- Open the Calendar and click the empty slot you want to take out.
- Create a block and choose a Category - Admin, Maintenance, Break, Training, or Other.
- Set the times and pick the staff member or resource it applies to.
- Save.
Blocked time stops new bookings landing on that staff member or resource for that period, and the category makes the calendar readable at a glance.
Use blocks for leave and days off too. A block covering the dates keeps the person bookable in general but unavailable for that stretch, which is simpler than editing the roster and remembering to change it back.
Multiple locations
Each staff member has a roster per location, so someone who works Monday and Tuesday in the city and Saturday at the beach studio can have that set up exactly. See How to run multiple locations.
If a slot is not showing online
Work down the list in order:
- Are you inside business hours for that day?
- Is the date a holiday?
- Does the staff member have Limit bookings to set working hours on, with that day left unset?
- Is there a schedule block across the slot?
- Does the service need a resource that is already busy? See multi-resource bookings.
