Your catalogue explained

Everything a customer can book or buy lives in Dashboard > Catalogue, split into six tabs: Services, Packages, Classes, Courses, Programs, and Items. Each tab is a different shape of thing you sell, and the shape decides how it is scheduled, paid for, and reported.

Catalogue entity What it is How a customer gets it
Service A one-to-one appointment (massage, consult, treatment) Books a time slot with a practitioner
Package Prepaid credits for services and/or classes Buys once, redeems over time
Class An ongoing group session, booked per session Drop-in, package credit, or membership
Course A finite series of class sessions sold as one purchase One payment, seat in every session
Program A class series tied to a calendar term Enrols for the term, often paid in instalments
Item A physical or retail product Buys it at the desk or in the online shop

Service

A service is the unit of one-to-one work: a name, category, duration, price, and the staff and resources required to deliver it. Variations let one service carry several lengths or price points (30 / 60 / 90 minutes).

Services drive the scheduler. Because a service knows its resource and capability requirements, Revively only offers a slot when the room, the equipment, and a qualified staff member are all free. See Set up services and resources for the detail.

Shows up in: the booking calendar, online booking and the customer portal, invoices, packages, and revenue reports.

Class

A class is a group session with a capacity rather than a single customer: Reformer Pilates, Beginner Salsa, Aqua Aerobics. The catalogue record is the template - name, category, duration, capacity, and a drop-in price.

You then add one or more schedules to it (for example every Tuesday 19:00). A schedule generates the individual sessions customers actually enrol in and check in to. Editing the schedule keeps future sessions in sync.

Paid for by: a drop-in charge, a package credit, or a membership entitlement.

Course

A course is a class that runs as a finite series sold as one product - an 8-week beginner series, for example. It uses the same underlying record as a class (same roster, check-in, and calendar), but it has a series price instead of a per-session drop-in price, and the schedule has a fixed end.

When someone buys a course, Revively reserves their seat in every session in the series and raises a single invoice. Missing one night does not create a credit or a makeup session.

Use a course when: the content builds week to week and you want people committed to the whole series. See sell a multi-week course.

Program

A program is a class series bound to a term - a school term or holiday period from your term calendar. Choosing the term is required, and the roster is locked into the same weekly slot for the whole term.

Programs are the model for term-based businesses (swim schools, kids dance, junior sport). They pair naturally with term memberships, which handle instalment billing and priority re-enrolment into the next term.

Use a program when: your year is organised into terms and families re-enrol each term. See term memberships and term enrolment.

Class vs course vs program, quickly

All three are the same kind of record with a different commercial shape:

  • Class - open-ended timetable, priced per session.
  • Course - fixed-length series, one price for the whole series.
  • Program - term-length series, tied to your term calendar and term billing.

Package

A package is a prepaid bundle of credits. Each line in a package grants a number of sessions of a specific service (or service variation) or a specific class - for example "10 x Reformer" or "5 x 60 minute massage". Packages can carry an expiry (validity days) and can be sold online through the portal.

When a customer buys one, Revively creates a customer package that tracks the balance. Credits are then redeemed automatically when the customer books a service or is enrolled in a class session, and the remaining balance shows on their profile.

Packages are credits, not a roster. They are deliberately flexible - any session, any week - which is why a course or program (which guarantees a specific seat in specific sessions) is sold as its own purchase rather than as a pack of credits.

Item

An item is a physical product: retail goods, consumables, supplements, merchandise. Items have variations for the individual priced SKUs, and can be published to the online shop in the customer portal.

Items are sale-only - they never appear on the calendar. They are added to an invoice at the desk, attached to a booking's invoice as an add-on, or bought online.

How they fit together

Service ──► Booking ──┐
                      │
Class ────► Session ──┼──► Invoice ──► Payment
Course ───► Session │
Program ──► Session │

Package ──► Credits ──► redeemed against a Service booking or a Class session
  • Services and classes are the delivery layer. Everything scheduled resolves to a booking (one-to-one) or a session enrolment (group).
  • Packages and memberships are the payment layer. They do not create schedule entries themselves; they pay for bookings and class sessions.
  • Courses and programs bundle sessions with their own price so one purchase covers a defined run of sessions.
  • Items never touch the schedule - they only touch invoices.
  • Every path ends at an invoice, which is where payments, GST, refunds, and revenue reporting happen.

Related catalogue concepts

These sit alongside the catalogue rather than inside it:

Choosing the right one

  1. Is it a physical thing? Item.
  2. Is it one customer with a practitioner? Service.
  3. Is it a group session on an open timetable? Class.
  4. Is it a group series with a fixed number of weeks sold together? Course.
  5. Is it a group series that follows your term calendar? Program.
  6. Is it prepaid credit the customer spends later against any of the above? Package.
