Customer self check-in

A QR code on the reception desk lets customers mark themselves in on their own phone. For a 6am class or a busy changeover, that clears the queue without anyone standing at the screen ticking names.

Self check-in uses the customer portal, so it needs the portal enabled on your plan.

Print your QR code

  1. Go to Settings → Check-in QR.
  2. Check the Check-in URL shown - this is your public check-in page.
  3. Choose Print QR.
  4. Put the printout where customers arrive: the desk, the studio door, the turnstile.

The printed sheet shows your business name, Scan to check in, the QR code, and the URL underneath so anyone who cannot scan can still type it in.

If the page says to set your business domain first, finish Settings → Identity and come back - the check-in URL is built from your workspace URL.

What the customer does

  1. Scans the code, which opens the check-in page on your domain.
  2. Signs in to the portal so Revively knows who they are.
  3. Sees their sessions for today and taps Check in, or Check in & pay if the session still needs paying for.
  4. Gets a confirmation on screen.

Because it runs through the portal, check-in respects everything else you have set up - membership entitlements, class pack deductions, waivers, and payment.

Control which classes allow it

Self check-in is on by default and can be turned off per class or per schedule.

  • On a class, use the Allow online check-in toggle.
  • On an individual schedule, open the Online check-in override and choose Inherit from class, Enabled, or Disabled.

Turn it off for anything that needs a staff conversation on arrival - an assessment, a first visit, or a class with an equipment brief.

A QR code for one class or session

As well as the general desk code, you can share a QR that goes straight to a specific class or session. Open the class in Catalogue and use its check-in link. This works well printed on a studio door so people arriving for that room check into the right thing.

How this fits with the front desk

The two work together rather than competing:

  • Self check-in handles the customers who arrive knowing what they are doing.
  • Front desk check-in gives staff the arrivals board, so they can see who has checked themselves in, who has not turned up yet, and check people in manually.
  • Display boards show the schedule on a screen but are read-only, so use those for wayfinding rather than check-in.

Staff can always check someone in from the session roster, so a customer with a flat battery is never stuck.
