Payment failure alerts for staff

Customers already get their own email when an instalment fails or a membership renewal does not go through. Staff alerts are separate: a Task in the dashboard, plus an email to the people you name.

Where the task appears

Open Tasks from the dashboard, or the tasks pill. Failed payments use the billing category. There is one open task per instalment, membership, or invoice. A retry updates that same task. It does not add another.

The task links to the invoice so you can try the card again, send a payment link, or mark the invoice paid. The task closes itself when the instalment or invoice is paid, voided, or the schedule is cancelled. You can also dismiss it.

What triggers an alert

  • A payment-plan instalment auto-charge fails, or a manual-collect instalment stays overdue
  • A membership renewal fails in Stripe
  • A staff card charge on an invoice fails

The first failure creates the task and sends an email. Later retries update the task only, unless you turn on email for every retry. A last failure, or an instalment overdue for the number of days you set, sends another email.

Choose who is emailed

  1. Go to Settings and open Tax & Invoicing.
  2. Find Payment failure alerts.
  3. Leave Alert staff when customer payments fail on.
  4. Add billing notifier emails, or leave the list empty to use owner emails.
  5. Save. Only an owner can change these settings.

Support inbox notifier addresses are not used for these emails. Add an address here if that person should hear about failed payments.

Turn off membership or invoice alerts if you only want payment-plan failures. Customer emails are unchanged either way.
