Family and guardian accounts
A child is a customer with no login of their own. A parent or other adult is a guardian. Two adults can share the same children. The adult who pays is the payer. The child who attends is the attendee.
Add a child
- Open the customer's profile and choose Family.
- Link an existing child, or add a new one with a name and date of birth. Email and phone are optional for a child.
- Invite a second adult when another parent should help. Only a guardian who can manage the child can send that invite. The invite is emailed or texted. It is not left as a link on the screen.
In the customer portal, the parent uses Family to add a child, update date of birth, medical notes, allergies, and the emergency contact, and to invite another adult.
Medical notes stay with guardians who can manage the child. An adult who can pay, but not manage, does not see them.
Book and pay for a child
The portal Book for control switches the child. Enrolments, packs, memberships, courses, events, and products use that child as the attendee and the signed-in adult as the payer. A parent cannot type another family's customer id and be billed for them.
Confirmations and reminders go to the payer when the child has no email or phone.
Family statement
A family statement lists what has already been invoiced for each child in a term: billed, paid, and outstanding. It does not create a new charge.
Staff open it from Settings under Family billing, pick the household and the term, and can email it to the payer. The email includes a PDF. Sending it again on the same day does not send a second copy.
Parents open the same summary in the portal under Family when term enrolment is turned on for the studio. Support turns that module on. It is off until then.
Term fees
Sibling discounts, once-per-family fees, and term instalments are described in term memberships and term enrolment. Those charges happen at enrolment and on the payment schedule. The statement only reports them.
