Levels - tracks, skills, rubrics, and grading

Revively Levels tracks skill progression for students and clients - swim levels, belt ranks, dance grades, instrument grades, or any studio pathway you define. Instructors score skills against a shared rubric, promote when someone is ready, and optionally block portal enrollment until a required level is met.

Levels is separate from performance metrics (body weight, pain scores, and similar numeric charts). Both live under the sidebar Progress module (shown as Progress (Beta) when collapsed). Growth and Pro plans include Levels (modules.levels).

The building blocks

Concept What it is
Levels rubric Account-wide score scale and labels (e.g. 0 = Not Attempted … 3 = Proficient / Consistent). Used every time staff grade a skill.
Track A pathway (e.g. Kids Karate, Adult Learn-to-Swim, Piano Grades). Contains ordered levels.
Level A stage on a track (e.g. Yellow Belt, Level 2). Contains skills; can enforce prerequisites, apply a CRM tag on complete, and gate classes.
Skill A concrete ability on a level with a target score - the grade the student must reach for that skill to count toward completing the level.
Skill score The latest proficiency score for one customer on one skill (0 through your scale max).
Level status Derived per customer: Not started, In progress, Ready to progress, or Completed.
Progress report A dated assessment with per-skill scores and notes (customer + Add Progress).
Required level Class setting that blocks portal/public enrollment until the customer has completed that level (staff can still enroll).

How readiness works

A customer is Ready to progress on their current level when every skill on that level has a proficiency score greater than or equal to the skill's target score. Staff then use Promote to next level.

Configure the Levels rubric

Do this first - every skill target and roster grade uses these labels.

  1. Open Settings → My Lists.
  2. Open the Levels rubric tab.
  3. Set Scale max (1-10). Instructors pick scores from 0 through that max.
  4. Edit each Score N label so the language matches your studio (belts, swim stages, music grades, etc.).
  5. Choose Save rubric.

Default labels (scale max 3):

Changing labels does not rewrite historical scores - it only changes how scores display and what options appear when grading.

Build tracks, levels, and skills

Open Dashboard → Progress, then the Levels tab (?tab=levels). The heading is Skill tracks & levels.

Tracks

  1. Choose Add track….
  2. Enter a name (e.g. "Kids Karate") and optional description.
  3. Keep the track active while it is in use. Archive or delete tracks you no longer need.

Levels

  1. On a track, choose Add level….
  2. Set Level name and optional description.
  3. Enforce prerequisite (on by default) - scoring a skill on this level requires lower levels on the same track to be cleared first.
  4. Optional accordion CRM tagTag on level complete: pick or create one customer tag applied when the level is completed (useful for Reach segments and filters).
  5. Optional accordion Class gating: tick classes that should require this level before portal/public enroll.

Order levels top-to-bottom in the pathway order students should complete them.

Skills

  1. On a level, choose Add skill….
  2. Name the skill (e.g. "Front kick", "Freestyle 25m", "Grade 2 scales").
  3. Set Target score - the rubric grade required for this skill to count toward level completion (marked with ★ in the picker).
  4. Save.

Tip: keep skill names short - they appear on the class roster assess panel and on mobile.

Class required level (enrollment gates)

You can bind a class to a level in either place:

  • Progress → Levels → edit a level → Class gating, or
  • Classes → edit a class → Required level (shown as Track · Level).

What the gate does:

  • Portal / public booking - customers who have not completed the required level see a level-required message and cannot self-enroll.
  • Staff enroll - front desk and instructors can still add the student (so you can place them intentionally).

Roster skill assessment uses the class's required level to know which track's skills to show. Set a required level on classes you grade from the roster.

Assess and grade students

On the class roster (desktop)

  1. Open the class session roster.
  2. For a student, choose Assess skills.
  3. Score each skill against the Levels rubric. Changes save as you grade.
  4. When every skill on the current level meets its target, use Promote from the assess panel if available.

Choose Hide skills to collapse the grading panel.

On staff mobile

  • More → Levels - browse tracks and open customer progression.
  • Customer → Levels - scores, Progress report, and Promote.
  • Today's class → Assess - grade the session roster on the floor.

The mobile assess UI uses Grade language for tapping a student and setting scores - same rubric as desktop.

Progress reports on the customer profile

  1. Open a customer → Levels tab.
  2. Choose + Add Progress (drawer title Add Progress).
  3. Pick the track/level context, set a report date, score skills, and add notes.
  4. Save - the report becomes part of the customer's progression history.

Use progress reports for formal grading days; use roster assess for quick mid-term updates.

Promote to the next level

When status shows Ready to progress:

  1. Choose Promote to next level.
  2. Optionally leave Send SMS notification about progress on (uses the Level promotion / SMS - Level promotion template).
  3. Confirm Promote.

Promotion:

  • Marks the current level Completed.
  • Starts the next level on the track (when one exists).
  • Applies the level's Tag on level complete when configured.
  • Can enqueue the level-promotion SMS when the customer has a phone and SMS is available.

You cannot promote until every skill on the current level meets its target score.

Ask Emma

Where Levels is enabled, Emma can:

  • Set or clear a skill score ("Grade Sam's freestyle to Proficient").
  • Promote a customer to a level (she confirms before saving).

Reach audiences

On Reach campaign audiences you can filter customers by Skill score (for example score less than or equal to a value) so you message people who need more practice or who just hit a milestone.

Typical studio workflow

  1. Configure Settings → My Lists → Levels rubric with language your instructors already use.
  2. Build one track per program pathway; add levels in order; add skills with realistic target scores.
  3. Set Required level on graded classes so portal enroll stays honest.
  4. Grade from the roster or mobile Assess during term; use + Add Progress for formal grading days.
  5. Promote when Ready to progress; optionally send the level-promotion SMS and rely on the CRM tag for lists.
  6. Use Reach skill-score filters for catch-up or congratulations campaigns.

Both appear under Progress. Open the Levels tab for pathways; use Metrics / Metric groups / Dashboard for charts.

Tips

  • Start with one track and a short skill list per level - expand after the first term.
  • Align target score with what "ready to move up" means in your studio, not with perfection on day one.
  • Use Enforce prerequisite for strict pathways; turn it off only when students commonly skip stages.
  • Keep Tag on level complete names stable - Reach and filters depend on them.
  • Edit the Level promotion SMS template under Templates before the first big grading day.
  • Levels is in beta - core grading and promotion ship today; Progress dashboard "ready to promote" highlights are still rolling out.
