Invite your team
Invite everyone who needs the dashboard - bookable practitioners who take appointments, and non-bookable ops staff such as front desk, management, and support.
Inviting someone is two steps: create the staff profile, then send that profile a dashboard login. The profile can exist for a while before you give them access.
Step 1 - Create the staff profile
- Open Staff in the sidebar (under People) and choose New Staff Member….
- Fill in first name, last name, nickname, and job title.
- Add a phone and email - the invite is sent to one of these, so a profile with neither cannot be invited.
- Set Bookable for appointments (see below), pick assigned locations on multi-site accounts, and save.
Saving takes you straight to that person's staff page.
Step 2 - Send the dashboard invite
There is no separate invite screen - the invite lives on the staff member.
- Open Staff and click the person's row to open their staff page.
- Find the Dashboard login card on the Overview tab and choose Send invite.
- Pick Send via Email or SMS. Channels you have no contact detail for are disabled.
- Read the Message preview - that is the exact email or SMS that goes out. Add an optional Personal message if you want.
- Choose Send email / Send SMS. An Invite link appears afterwards with Copy link if you would rather paste it into a chat yourself.
Only workspace owners see the invite controls.
Step 3 - What the teammate does
The link opens a branded join page showing your business name and who they were invited as. They Sign in with an existing Revively account or Create account (email and password, or Google), and they land in the dashboard with access already linked.
Track and manage a pending invite
Back on the Dashboard login card:
- Invite pending shows the channel, the address or number it went to, and the expiry date.
- Resend sends it again; Copy link grabs the same link.
- Once accepted, the card shows their Login email instead.
- Remove login revokes workspace access while keeping the staff member on your active roster, along with their bookings, notes, and history.
- Deactivate staff member (bottom of the Overview tab) archives the profile entirely - use this when someone leaves the team. See staff roles and permissions.
Roles are set separately
Sending an invite does not choose a role. Access is its own card on the staff page - open Access → Edit to pick the role template and access scopes. Do this before or after the invite; changes apply the next time they sign in. See staff roles and permissions.
Bookable vs ops staff
Each staff profile has a Bookable for appointments setting:
- Bookable (billable) - therapists, instructors, and other providers who appear on the schedule, class rosters, and online booking. These profiles count toward your plan's staff seats.
- Non-bookable (not billable) - front desk, ops, and management who need dashboard access but should not be assigned to appointments or classes. They do not use a paid seat and never appear as bookable on the calendar.
Turn bookable off for ops-only teammates so seat limits only apply to people who take bookings. The toggle sits on the create form and later under Personal details → Edit. Learn more on the staff feature page.
Bookable is not a permission - a front-desk login can be non-bookable while an admin who also treats clients stays bookable.
Provider details
For bookable practitioners, health provider numbers live on the Locations tab of the staff page under Health fund credentials, so a clinician can carry different numbers per site. See health funds.
Multiple workspaces
If you operate more than one business, one login can belong to several workspaces. Each workspace keeps its own staff, billing, and data, and you switch between them from the top bar.
